We are looking for a Personal Assistant to support two to three of our partners. The contract is for a fixed term of one year, with the possibility of extension to a permanent role thereafter, subject to performance and organisational needs. The start date is as soon as possible.

The Business Support Team (BST), of which you will be a part, comprises approximately 15 people working with Human Resources, Communications, Finance, IT, PA and Workplace Support. Tasked with delivering high-quality strategic support across the company, the BST is spread across our four locations and collaborates actively to maximise our resources and find more streamlined ways of working. 

WHAT DO WE OFFER? 

As a Personal Assistant (PA), you will have a trusted and central role, working closely with two to three of our Partners and supporting them in making the best use of their time. You will be working in a close and trustful relationship with driven professionals and make a big difference to these people and the business. On a day-to-day basis, you will act as a liaison between the Partners’ teams of consultants, the rest of the Partners, and our BST.

The position is based in our Copenhagen office. You will report to the Personal Assistant to our Managing Partner, who is also based in Copenhagen, and work closely with our team of PA & Workplace Support colleagues across locations. 

Responsibilities 

Your responsibilities will span from executive support and calendar management to administrative and project support. 

Executive support & calendar management 

  • Manage and coordinate the complex calendars of the Partners, including managing focus time and deadline blockers to protect time for both delivery and deep work. 
  • Schedule internal/external meetings, manage logistics, and coordinate across teams and locations (incl. with clients). 
  • Proactively plan ahead, resolve conflicts, and ensure alignment with the Partners’ priorities. 
  • Prepare for meetings (such as agendas, documentation, and pre-reads) and track upcoming actions or deadlines. 

Liaison between the Partners and the business 

  • Facilitate smooth communication and information flows between Partners and project teams, direct reports, other Partners, support functions, and the business in general. 
  • Help the Partners deliver and receive what is needed, when it is needed. 
  • Track and follow up on to-dos, action points, feedback processes, and administrative tasks. 

Travel, events/conferences & logistics 

  • Coordinate travel planning and bookings. 
  • Support with related documentation (e.g., visas), briefings, and calendar management. 
  • Support with event/conference participation/execution (e.g. sign-up, logistics, on-site support etc.) 

Administrative & project support 

  • Set up and monitor e-signatures (such as Adobe Sign or Penneo), prepare documents, and assist in ad hoc admin tasks. 
  • Liaise with Project Managers as needed for project support. 
  • Assist with presentations, internal materials, or business development activities. 
  • Keep the Partners’ CVs up to date (such as annually or as needed). 

Local engagement & office involvement 

  • Be physically present in the Copenhagen office to stay connected with local dynamics. We offer hybrid working opportunities, but believe that presence in the office is important.  
  • Help maintain a positive and collaborative office environment, supporting connectivity across teams. 
  • Support on Copenhagen-based initiatives (such as events/conferences and any office refurbishments or moves) as needed, in collaboration with other relevant support functions. 

YOUR EXPERIENCE AND COMPETENCIES 

You have several years (ideally 3-4) of experience as a PA to senior management for an international business, preferably a consultancy. You have a good overview and are proactive in planning, and you understand that discretion and confidentiality are key to the role of a PA. You like working in an international environment, and you speak and write English fluently. 

As a person, you are highly service-minded, independent and flexible, with a can-do attitude. You can keep your cool on a busy day. You thrive on feedback and seek to deliver outstanding quality in everything you do. Others experience you as a true professional in both your communication style and your approach.
